ADHOC HCP training FAQs

  • Complete the online training, including the database training (REDCap).
  • Email your certificate to the ADHOC team and confirm that you have completed the database training (adhoc@qmul.ac.uk).
  • Wait for your LIVE database (REDCap) login to be sent.
  • Login to the LIVE database (REDCap) using these details and create your password (make sure to keep a note of this password).
  • Find the patient’s study ID number and details.
  • Login to the LIVE database (REDCap) and find the relevant record.
  • Open the webpage for onboarding patients to the Asthma Forum https://surveys.healthunlocked.com/s/HU-ADHOC/
  • Print a copy of the checklist (this will have been emailed to you by the ADHOC team, and is also available on the ADHOC website https://www.qmul.ac.uk/adhoc/ongoing-recruitment/.
  • Have the tote bag, gift card and leaflet about the Asthma Forum for the patient to hand.
  • You will be emailed the details of the patients taking part in the ADHOC study at your GP surgery by the ADHOC team (adhoc@qmul.ac.uk). If you cannot find the details email the team at this address (ideally check that you have received this once the consultation is booked in – don’t wait until immediately before the consultation).
  • Your login details will be sent from the PCTU at Queen Mary using the address pctu-dm-systems@qmul.ac.uk (check your spam folder if you can’t find the email).
  • There are 2 versions of the REDCap database: the TEST database that you will use for training and the LIVE database that you will use for data entry during the patient consultations.
  • TEST database (training only): https://dm2.pctu.qmul.ac.uk/
  • LIVE database (study data entry): https://trials2.pctu.qmul.ac.uk/
  • Check the User guide in the first instance and if that doesn’t solve the problem contact the ADHOC team (adhoc@qmul.ac.uk) including a detailed description of the issue you are having and screen shots if possible.
  • In the LIVE database, try searching for the ID number in both the ‘Search query’ box under ‘Add/Edit Records’ tab and by scrolling down the list in the ‘Record Status Dashboard’ (note these are in numerical order, but may go over several pages).
  • If you still can’t find it, contact the ADHOC team (adhoc@qmul.ac.uk) including the study ID number you are trying to locate.
  • In the patient medical records, either in the consultation log or the problem list, start typing ‘participant research study’ and you’ll get a pop up with the code SNOMED – 838621000000107, then a prompt to add a CPMS code. Add the code 53927, which is specific to the ADHOC study. You will then be invited to add free text – type ‘ADHOC study, patient OK to take part’ or something similar.
  • Address the patient’s immediate medical issues.
  • If they are too unwell to continue with the research consultation, please reschedule it and inform the ADHOC Team that their consultation will be delayed, including the patient’s study ID number (adhoc@qmul.ac.uk).
  • Hand the patient the completed Asthma Forum leaflet, the tote bag and the gift card.
  • Tell them they will receive a follow-up questionnaire from the ADHOC team in 3 months’ time.
  • Make sure the checklist is completed and file it in the site file.
  • Sign out of the study database (REDCap).
  • Sign out of the Asthma Forum (HealthUnlocked).
  • Reassure the patient that they are perfectly within their rights to do that, and it will have no impact on their future care.
  • Thank the patient for their time and interest, give them the tote bag and gift card, but don’t give them the leaflet about the Asthma Forum.
  • Email the ADHOC team (adhoc@qmul.ac.uk) including the patient’s ID number and reason for withdrawal (it is sufficient to say ‘for personal reasons’ if they don’t give any further information, which they are not obliged to do).
  • Add a second SNOMED code to the patient’s electronic record, to record their withdrawal. In the same location that you entered the original code, start typing ‘withdrawn from research study’ and you’ll get a pop up with the code SNOMED – 871401000000109. Add the CPMS code 53927, you will then be invited to add free text – type ‘ADHOC study – patient withdrawn’ or something similar.
  • Do contact the ADHOC team for any questions, even if they seem trivial (adhoc@qmul.ac.uk). The team are:

  • If you are really stuck and there are problems during the consultation, please stop and reschedule the appointment with the patient. Give them the gift card and tell them they will get another gift card for attending the rescheduled appointment. Inform the ADHOC Team that the patient’s consultation will be delayed, including their study ID number (adhoc@qmul.ac.uk).
