QMUL Malta Housing Policy 2020

1^st Year Undergraduates

All first year Malta MBBS student are guaranteed accommodation in QMUL Gozo halls of residence, subject to meeting the following conditions:

• You have firmly accepted a place on the Malta MBBS programme
• If your offer is conditional, you will still have to meet any outstanding conditions of your offer before we can confirm your accommodation
• You have applied for accommodation by the deadline of 31st July of your year of entry
• Your permanent home address has a postcode that is outside Gozo
• You are prepared to sign a residential licence agreement for a full academic year

 If you apply for accommodation after 31 July you can add your name to the waiting list for Queen Mary (Malta) accommodation. You may also refer to our website for information on alternative housing options. 

Clearing, Resit and Late Applicants

• Any applicant who applies after 31 July (including clearing/late summer students), can opt to have their name added to the waiting list for accommodation. We will inform you if a place becomes available. • For resit candidates, accommodation is subject to confirmation of progression. Application for accommodation must be made by 31 July at the end of your first academic year. Your application will be placed in the queue and place allocated accordingly; the place will be held until candidate’s confirmation of progression

2^nd Year Undergraduates

QMUL cannot guarantee accommodation for second year students but shall endeavour to allocate accommodation in line with our allocations process. 

Our priority is to house all first year students who apply for accommodation by the 31 July. Where accommodation is available after meeting this commitment, it will be allocated to our second year students, subject to meeting the following conditions:

• Your progression into Year Two on the Malta MBBS programme has been formally confirmed in writing
• You have fulfilled your financial obligations to the University and have abided by the disciplinary rules and regulations of the University
• You have applied for accommodation by the deadline of 31 July of your first academic year
• You are prepared to sign a residential licence agreement for a minimum of a full academic year

 

If accommodation is not available via QMUL Gozo Halls the University will endeavour to support the student to find accommodation. Students are referred to our website for information on alternative housing options. 

Returning Students (Year 3 to 5):

Returning students do not have any priority for accommodation unless they have extenuating circumstances (supported by the Barts and The London School of Medicine and Dentistry (Malta) Student Academic & Pastoral Support).

Any surplus of rooms or mid-term vacancies, once our above commitments have been met, will be offered to the following groups in the following order:

• Year Three MBBS students
• Year Four MBBS students
• Year Five MBBS students

 

Submission date of application will be taken into consideration within each category when waiting lists are compiled.

Students who have not fulfilled their financial obligations to the University or have not abided by the disciplinary rules and regulations of the University will not be offered accommodation.

Extenuating Circumstances

If you have extenuating circumstances or a medical/disability that you wish to be considered when submitting your application please submit any supporting literature, which is relevant to your case within 14 days of making your application.

In the case of a medical condition, you will need to provide medical evidence signed and dated within three months of the condition becoming apparent.  This evidence has to be written in English and provided by a doctor or other medical professional. The evidence must be submitted within 14 days of making your application.  All applications with the necessary supporting literature will then be passed to the Barts (Malta) Student Academic & Pastoral Support for assessment.  For further information please contact the Malta Student Academic & Pastoral Support office (student-support-malta@qmul.ac.uk).

Any non-medical extenuating circumstances will be referred to Barts (Malta) Housing Review Panel. You will be required to send an email outlining your extenuating circumstances (residency-malta@qmul.ac.uk)  and any supporting literature should be scanned and sent with this email.  Your request will be acknowledged and you will be informed of the outcome by email.

In the event of a student wishing to challenge a Panel decision, you will be required to send an email outlining your grounds for appeal (residency-malta@qmul.ac.uk). This will be assessed by the Operational Director Barts (Malta) and the Deputy Dean for Education Barts (Malta). All appeal decisions are final. New applicants do not have the right of appeal.

Room allocation Process

Rooms are allocated on a first come, first served basis once all conditions have been met.  Allocations are made during the period July to September and in the following order:

• 1^st year applications
• 2^nd year returners
• Clearing, Resit and Late applications
• If you are successful in obtaining a place in halls, you will be sent an email giving you instructions on how to view and accept the offer. You are advised to check the email address you gave us on a regular basis to see if you have been made an offer of housing, missed deadlines may result in you losing your room allocation.  It is advisable to store our email address (residency-malta@qmul.ac.uk)  in your contacts list to prevent these emails being treated as spam.  You will be given a deadline date to accept the offer and this must be accompanied with the relevant deposit payment for your allocated accommodation which will be advised to you in the accommodation offer email
• If you do not accept your accommodation offer or fail to make your deposit payment by the deadline in your offer you may lose your place. In this case you will be required to re-apply by the next deadline and you will be placed in the allocations queue on a first come first served basis
• If you are unsuccessful in obtaining a place in halls, you will be given further information on how the waiting list for halls operates, or if required, help in finding alternative accommodation
• With the exception of extenuating circumstances, room preferences are subject to availability and are allocated on a first come first served basis
• Room allocations for shared/single sex accommodation are as follows:
• Mixed-sex accommodation: male (ensuite); female shared bathroom
• Mixed-sex accommodation: female (ensuite): male shared bathroom
• Single-sex accommodation
• Mature students will, subject to availability, be allocated into flats with other mature students. We define a mature student as being age 22 or over at the time of application

Refusal of allocations

The demand for accommodation is greater than the number of rooms available.  If you do not wish to accept your allocated accommodation, the University is not obliged to provide an alternative.  Appeals will only be considered with respect to extenuating circumstances.  Failure to confirm your room allocation by the date given in your accommodation offer will lead to the room being made available for the allocations process.  In this case, you will be required to reapply for accommodation as a late candidate and prioritized accordingly.
