Immigration Permission to Enrol

 

 

This page explains what you will need to provide in order to:

  1. Prove that you hold the correct immigration permission
  2. Prove that you have arrived or are in the UK
  3. Respond to our request for further documentation

The information on this page does not apply to:

  • British and Irish citizens
  • Distance Learning students studying outside the UK

What information / documents should you provide?

Within the Pre-Enrolment task, you will be presented with a list of types of immigration permission / visa. Depending on which type you hold, you will asked some further questions. You can then upload or input the information to evidence this.

How to provide us with your evidence

You can provide us with your immigration documents via the Pre-Enrolment task in MySIS

As part of Pre-Enrolment, you are asked to indicate whether you are already in the UK or have not arrived yet (and provide us with an expected date of arrival if known).

If you are in the UK when completing Pre-Enrolment, you will be asked to provide evidence of your current immigration permission or status and evidence of your arrival in the UK by uploading certain documentation, depending on your type of permission. This may include:

  • your UKVI decision email/letter
  • the front and back of your BRP card (if you have collected it)
  • evidence of entry clearance (e.g. vignette in your passport)
  • Your flight ticket / boarding pass showing your date of arrival in the UK
  • eVisa share code

If you are outside the UK when completing Pre-Enrolment, once you have arrived, you must return to the 'Immigration Documents (Visa) Upload' section of Pre-Enrolment and confirm that you are now in the UK. Once you have done this, you will be asked to select which immigration permission you hold. You will then be able to upload the relevant evidence (examples listed above) of your immigration permission and proof that you are now in the country. It is only after you have provided all documents required that you can progress to Queen Mary Enrolment.

All students are reminded that flight tickets or boarding passes must be dated to show that you are already in the UK. Any documents which show that you will be arriving in the UK in the future cannot be used as proof that you are currently in the country.

 

When to complete Pre-Enrolment

We encourage you to complete Pre-Enrolment in MySIS as soon as you are invited to do so. You can Pre-Enrol from outside the UK in order to receive your tuition fee invoice and you do not need to wait until you have arrived in the UK.

As part of the Pre-Enrolment task, you will see a section titled 'Immigration Documents (Visa) Upload'. Here, you will need to inform us of whether you are already in the UK or you have not arrived yet. 

  • If you are already in the UK, you should complete the visa upload section and answer the appropriate questions, uploading your documents.
  • If you are not in the UK yet, you should continue with your Pre-Enrolment and complete the task. Once you have arrived in the UK you should return to the visa upload section, confirm that you are now in the country, answer all questions asked and upload your documents. 

You can complete Pre-Enrolment whilst overseas but note that your enrolment will not progress until you have arrived in the UK, returned to the visa upload section of the Pre-Enrolment task to inform us that you are in the country and uploaded your documents. 

All sponsored students should arrive in the UK and upload their documents by the latest date of arrival recorded on their CAS.

Students studying on a programme lasting less than 6 months

The visa information required during Pre-Enrolment will depend on your nationality and whether you had to apply for a visa in advance of travel to the UK.

If you are a visa national you will need to upload a copy of your entry clearance vignette (the yellow visa sticker in your passport).

If you are a non-visa national, you may have a stamp from an immigration official. Or, eligible nationalities may have entered via eGates and will need to provide alternative evidence as indicated in the task.

We ask that you complete Pre-Enrolment as soon as you have access to it and you can do this from outside the UK and become Pre-Enrolled. However, we will not attempt to proceed with Queen Mary Enrolment until you have re-entered the 'Immigration Documents (Visa) Upload' section of the Pre-Enrolment task and submitted all documentation required, including evidence that you have arrived in the UK so that we can complete a Right to Study check for you.

Students studying on a programme lasting 6 months or longer

As part of Pre-Enrolment, you must provide us with evidence that you have valid immigration permission to study at QMUL or a status that permits you to study in the UK. Our sponsor licence number is 11W8K9Y63 and if your visa is for another institution then we will not be able to proceed with your enrolment (some exceptions apply).

We ask that you complete Pre-Enrolment as soon as you have access to it and you can do this from outside the UK and become Pre-Enrolled. However, we will not attempt to proceed with Queen Mary Enrolment until you have re-entered the 'Immigration Documents (Visa) Upload' section of the Pre-Enrolment task and submitted all documentation required, including evidence that you have arrived in the UK (e.g. your visa sticker/passport has been stamped with your date of arrival in the UK).

If you are unable to provide evidence that you hold valid immigration permission to study with us, we will not be able to proceed with your enrolment. If you complete Pre-Enrolment in full, including uploading evidence of your arrival however the evidence is insufficient, we will contact you via email to inform you of what we require. You will remain Pre-Enrolled until you satisfy our Right to Study checks.

Further Documentation Requested

When attempting to finalise your enrolment, we may request additional documentation from you if we do not have everything we need for us to complete a Right of Study check for you. We require evidence of your immigration permission and proof that you are in the UK to complete this check.

We will email you to request that you provide any additional documentation and the email subject line is 'QMUL Enrolment: Further Documentation Required'

If there is a specific document that we need you to provide, you will find it noted under the 'Additional Information' heading in the email.

The most common reason that we will ask you for further documentation is that you have not provided evidence during Pre-Enrolment that you have arrived or were already in the UK. We can only proceed with your enrolment once we have seen evidence that you are in the UK.

Once you have arrived in the UK and have had your visa vignette (sticker) stamped at the airport by an Immigration Official, you can take a photo of that and upload it in MySIS to prove that you have arrived.

If you have provided us with a flight ticket/boarding pass, note that this evidence is only acceptable if it shows that you have already travelled i.e. that you are now in the UK. Therefore, please don't upload tickets for a future flight - we want to know that you are now in the country, not that you are going to travel on 'X' date. 

 

Other reasons that we may ask you to upload further documentation are

  • You have not uploaded your UKVI decision email/letter. This is the notification from UKVI which confirms that your application for a visa has been successful and gives the start and end dates for your visa. If you will be getting a BRP card, it notes which Post Office this should be collected from.
  • You have uploaded a student visa for another institution. Our sponsor licence number is 11W8K9Y63 and this needs to be recorded on your student visa.
  • The document(s) you have uploaded are blurry or unclear and we cannot verify the details. New photos/scans are required
  • There is an issue with the file(s) you have uploaded and we cannot open/view them (please re-save and re-upload the files)
  • You do not have the correct permission. For example, you have a Graduate Visa which is not permitted for enrolment (some exceptions apply). Or, you have a Visitor visa but want to enrol on a programme that is longer than 6 months which is not permitted.

 

How to provide us with your documents

Please do not email your evidence to us as we require it to be uploaded in the Pre-Enrolment task so it is saved against your student record.

When you have the correct documentation that proves your permission/arrival in the UK, please login to MySIS and access the Pre-Enrolment task under 'My Enrolment'. You should re-enter the ‘Immigration Documents (Visa) Upload’ section. You should answer the questions and upload all documentation as requested so that we can proceed with your enrolment.

If you are unsure whether you have the correct permission, or, if you do not have the documentation requested and do not think you will have it before the enrolment deadline, please contact the Immigration Compliance Team via visaverification@qmul.ac.uk for guidance and include a copy of your passport and any visa related documents that you believe show your permission. They aim to respond to you within 5 working days but during peak periods it may take longer.

 

Timeframe for your Enrolment

Please be aware that if you originally uploaded insufficient evidence it has caused your enrolment to be progressed slower than normal. This is because we will need to re-check all of your documents after you have uploaded the correct evidence. Please be patient whilst we do this. You will receive an email with an update once we have re-checked your documents.

Tuition Fees and your Invoice

Once you have completed the Pre-Enrolment task, your invoice will be generated and emailed to you by the Fees Office in the following days.

Please note that the Fees Office cannot generate your invoice at your request or before you have completed the Pre-Enrolment task so please don't ask them to send it to you ahead of this.

Remember, you can complete the Pre-Enrolment task whilst overseas but you must return to the task and re-enter the 'Immigration Documents (Visa) Upload' section once you are in the UK in order for your enrolment to progress.

If you have time-limited permission that does not cover the whole programme

Important Information: 

If you enrol with immigration permission that does not cover the whole of your programme of studies, you are confirming that you understand that:

  • If your immigration application (and any subsequent in-time administrative review) is not successful, you will have to interrupt or withdraw from your studies and return home.
  • If you have to interrupt or withdraw from your studies because your immigration application is not successful, you will be held liable for the fees for your programme for the whole academic year and you will not be entitled to any refund.

If you are not prepared to accept this risk, you should not enrol. If you do not wish to accept this risk, you may be able to ask the QMUL Admission Office to defer your place until the next intake.

IMPORTANT: If you are already in the UK and are not confident that your current immigration status allows you to study at Queen Mary, please send evidence of your immigration permission (usually a sticker or stamp in your passport or a residence card) and the details page from your passport to visaverification@qmul.ac.uk as soon as possible. If you are sending us a copy of your residence card, please send us copies of the front and back of your card. Please ensure you include your student ID number in all correspondence.

Yes. You can study the programme detailed on the CAS (Confirmation of Acceptance of Studies) you used to apply for your Student immigration permission. When you Pre-Enrol online, please provide the following:

Evidence of your immigration permission

If you applied inside the UK, you must provide:

  • the front and back of your BRP (Biometric Residence Permit) card (the UKVI will post your BRP to the address you specified in your immigration application); and
  • UKVI decision email (usually sent from "home.office.atlas@notifications.service.gov.uk") OR
  • if you have a digital status (eVisa), you must provide us with a share code

 

If you applied outside of the UK and have immigration permission of six months or less, you must provide:

  • the immigration sticker in your passport

 

If you applied outside of the UK and have immigration permission of more than six months, you must provide:

  • the immigration sticker in your passport; and
  • your UKVI decision email/letter and
  • the front and back of your BRP (Biometric Residence Permit) card

You must collect your BRP card from the Post Office you nominated in your immigration application as soon as possible.

To remind yourself of which Post Office you nominated, please see the UKVI decision email/letter set to you by the UK Government when your immigration application was granted.

If you collect your BRP after you have pre-enrolled, please send a clear, colour copy of the front and back of your card to immigrationcompliance@qmul.ac.uk

Evidence of the date you arrived in the UK:

If you applied outside of the UK, you must provide evidence of the date that you arrived in the UK. What you must provide will depend on what happened when you landed in the UK:

  • If a UK Border Force Officer stamped your passport, you must provide a copy of the Officer's date stamp. The Border Force Officer's date stamp may be on your immigration sticker or another page in your passport.
  • If a UK Border Force Officer did not stamp your passport, you must provide other evidence of the date you arrived in the UK. A UK Border Force Officer will not stamp your passport if you travel to the UK via the Republic of Ireland or if you use an eGate. The evidence you must provide could be one of the following:
    • Your boarding pass
    • Your travel ticket
    • Your booking confirmation

If you applied for your immigration permission inside the UK, you do not need to provide evidence of the date that you arrived in the UK.

eVisas

The UK Government is replacing immigration stickers, stamps and cards with eVisas by 2025. You will need to create a UKVI account to be able to view your digital status. Further information can be found on our Digital Immigration Status: eVisa webpage.

If you have an eVisa, please use the 'View and prove your immigration status - GOV.UK (www.gov.uk)' service to share your immigration status with us.

Please ensure you select "To prove my immigration status for anything else" when generating your share code. The correct share code for our purposes should start with "S"

To Pre-Enrol online, you will need to provide:

  • The UKVI decision email/letter sent to you when they granted your immigration permission
  • Your share code
  • Evidence of the date you arrived in the UK (see above).

Yes. If you have completed a programme of studies at QMUL and your Student immigration permission for these studies has not yet expired, you can enrol.

You must submit a new Student immigration application before your current immigration permission expires or within six weeks of enrolling (whichever is sooner).

You will need to provide the following:

Evidence that you submitted a Student immigration application before your current immigration permission expired or within six weeks of enrolling (whichever is sooner)

  • your Document Checklist or copy of your Submitted Application

You can download either of these as a PDF document from your UKVI application account or by clicking on the link in the e-mail the UKVI sent you when you started your application. The e-mail from the UKVI is sent from "noreply@visas-immigration.service.gov.uk" and has the subject "UK visa application: sign in details".

Evidence of the immigration permission that you held when you submitted your Student immigration application

If you applied inside the UK, you must provide:

  • the front and back of your BRP (Biometric Residence Permit) card; and
  • UKVI decision email (usually sent from "home.office.atlas@notifications.service.gov.uk") OR
  • if you have a digital status (eVisa), you must provide us with a share code

 

If you applied outside of the UK and have immigration permission of six months or less, you must provide:

  • the immigration sticker in your passport

 

If you applied outside of the UK and have immigration permission of more than six months, you must provide:

  • the immigration sticker in your passport; and
  • UKVI decision email (usually sent from "home.office.atlas@notifications.service.gov.uk") OR
  • if you have a digital status (eVisa), you must provide us with a share code

If you applied for your immigration permission inside the UK, you do not need to provide evidence of the date that you arrived in the UK.

eVisas

The UK Government is replacing immigration stickers, stamps and cards with eVisas by 2025. You will need to create a UKVI account to be able to view your digital status. Further information can be found on our Digital Immigration Status: eVisa webpage.

If your current visa is an eVisa, please use the "View and prove your immigration status - GOV.UK (www.gov.uk)" service to share your immigration status with us.

To Pre-Enrol online, you will need to provide:

  • The decision email/letter the UKVI Government sent to you when they granted your immigration permission. They may have emailed this to you.
  • Your share code
  • Evidence of the date you arrived in the UK (see above).

Updates about your immigration application

We will periodically contact you to request that you update your student record with the progress of your immigration application. You should respond to these requests even if you are confirming that you have not had a response from the Home Office. If you fail to respond to these requests, you will be at risk of deregistration.

No. If you are in the UK, you will have to submit a Student immigration application using a CAS issued by QMUL before you can study at QMUL.

The only exceptions to this are for intercollegiate or associate students and further evidence is required.

If your previous permission was not a Graduate or High Potential Individual Visa, you can study the programme detailed on the CAS (Confirmation of Acceptance of Studies) you used to apply for your Student immigration permission. We will ask you to provide:

Evidence that you submitted a Student immigration application before your current immigration permission expired

  • your Document Checklist or copy of your Submitted Application

If you applied outside of the UK and have immigration permission of more than six months, you must provide:

  • The immigration sticker in your passport; and
  • the front and back of your BRP (Biometric Residence Permit) card

If you applied outside of the UK for your current immigration permission, you must provide evidence of the date that you arrived in the UK. What you must provide will depend on what happened when you landed in the UK:

To Pre-Enrol online, you will need to provide:

Updates about your immigration application

We will periodically contact you to request that you update your student record with the progress of your immigration application. You should respond to these requests even if you are confirming that you have not had a response from the Home Office. If you fail to respond to these requests, you will be at risk of deregistration.

It depends. If your immigration permission does not prohibit study at QMUL, you will be able to enrol.

Types of immigration permission that would prohibit you from studying at QMUL include:

  • Any Student immigration permission for study at another institution (not QMUL) where you are not continuing your studies at that institution.
  • A Graduate Visa
  • A High Potential Individual Visa

Examples of immigration permission which would allow you to study at QMUL (not an exhaustive list):

  • as a dependant (husband/wife/partner/child) of someone in the UK
  • holders of Skilled/Temporary Worker permission
  • holders of UK Ancestry/Youth Mobility/Global Talent permission
  • holders of BN(O)/Resettlement Schemes (Afghan'/Ukraine)/Visitor* permission
  • Asylum seekers/refugees
  • those who have Pre-settled or Settled status via the EU Settlement Scheme

*We can only enrol students with Visitor permission on courses of less than 6 months in duration

To Pre-Enrol online, you will need to provide:

Evidence of your current immigration permission

  • valid immigration sticker, stamp or certificate in your passport or travel document; or
  • valid biometric identity document confirming your immigration status (such as a Biometric Residence Permit or an Asylum Registration Card); or
  • if your immigration permission was issued as an eVisa, you will need to use the "View and prove your immigration status - GOV.UK (www.gov.uk)" service to share your immigration status with us.

Evidence of the date you arrived in the UK:

If you applied outside of the UK, you must provide evidence of the date that you arrived in the UK. What you must provide will depend on what happened when you landed in the UK:

  • If a UK Border Force Officer stamped your passport, you must provide a copy of the Officer's date stamp. The Border Force Officer's date stamp may be on your immigration sticker or another page in your passport.
  • If a UK Border Force Officer did not stamp your passport, you must provide other evidence of the date you arrived in the UK. A UK Border Force Officer will not stamp your passport if you travel to the UK via the Republic of Ireland or if you use an e-gate. The evidence you must provide could be one of:
    • Your boarding pass
    • Your travel ticket

Yes!

Examples of 'settlement' immigration permission which would allow you to study at QMUL (not an exhaustive list):

  • Indefinite Leave to Enter
  • Indefinite Leave to Remain
  • Settled status via the EU Settlement Scheme

To Pre-Enrol online, you will need to provide:

Evidence of your current immigration permission

  • valid immigration sticker or stamp in your passport; or
  • valid Biometric Residence Permit; or
  • if your immigration permission was issued as an eVisa, you will need to use the "View and prove your immigration status - GOV.UK (www.gov.uk)" service to share your immigration status with us. Please ensure you select "To prove my immigration status for anything else" when generating your share code. The correct share code for our purposes should start with "S"

Whilst there is no time limit or expiry date for settlement or indefinite leave to remain, you will be required to enter an expiry date in the Immigration Permission / Visa Details section. Please therefore use a date 10 years in the future from the date you complete the task. We will be able to update your record once staff enrolment opens from 2 September.

eVisas

The UK Government is replacing immigration stickers, stamps and cards with eVisas by 2025. You will need to create a UKVI account to be able to view your digital status. Further information can be found on our Digital Immigration Status: eVisa webpage.

 

No. If you have a Graduate Visa (sometimes referred to as a Post Study Work visa), your immigration conditions prohibit you from studying a course for which you could apply for a Student Visa. You will need to obtain a Student Visa before starting your studies.

There are some exceptions. For example, you cannot apply for a Student Visa for a distance learning only programme. There are also some programmes that QMUL cannot issue a CAS for.

It depends. If your previous immigration permission did not prohibit you from studying at QMUL and you submitted your immigration application before that immigration permission expired, you should be able to enrol and continue to study while your immigration application is to be decided (including any in-time appeal or administrative review).

If you are an EU/EEA national or family member and you have made a late application to the EU Settlement Scheme, you should be able to enrol and study while you are waiting for a decision on your application.

You will need to provide the following:

Evidence of your identity

  • valid passport; or
  • valid travel document

 

Evidence of your previous immigration permission

  • valid immigration sticker, stamp or certificate in your passport or travel document; or
  • valid biometric identity document confirming your immigration status (such as a Biometric Residence Permit or an Asylum Registration Card)

If you are waiting on a decision on an EU Settlement Scheme application, you will not need to provide evidence of previous immigration permission but should provide your 'Certificate of Application' letter.

Evidence that you have submitted an immigration application

You will need to provide:

  • if you have submitted an on-line application, your Document Checklist or copy of your Submitted Application.
  • if you have submitted a paper application, evidence of the date you posted your application to the Home Office (e.g. your Special Delivery receipt from the Post Office) and the letter from the Home Office confirming receipt of your application.

 

Evidence of the date that you arrived in the UK:

  • if you entered using an eGate or via the Republic of Ireland you will need to provide your flight ticket/boarding pass (original, print at home or mobile); or
  • if you did not enter using an eGate and did not enter via the Republic of Ireland, you can provide the UK Immigration Officer's date stamp in your passport.

If you applied for your current immigration permission inside the UK, you do not need to show evidence of the date that you arrived in the UK.

Enrolment Risk Waiver

By enrolling without immigration permission that covers the whole of your programme of studies, you are confirming that you understand that:

  • If your immigration application (and any subsequent in-time administrative review) is not successful, you will have to interrupt or withdraw from your studies and return home.
  • If you have to interrupt or withdraw from your studies because your immigration application is not successful, you will be held liable for the fees for your programme for the whole academic year and you will not be entitled to any refund.

Original document at the Home Office

If you do not have your passport or travel document and evidence of your immigration permission because you have already sent these to the Home Office, we will accept high quality colour photocopies of your documents. If you are providing a copy of a biometric residence permit or asylum registration card, please make sure you have copies of both sides.

If you did not take high quality photocopies of your documents before you sent them and can't obtain copies from elsewhere (e.g. from your previous academic institution), the QMUL Immigration Compliance Team may, with your permission, be able to request copies from the Home Office. Please note, requesting documents from the Home Office may take some time and this could delay your enrolment.

No. If your programme is longer than six months, you must obtain a CAS and apply for Student immigration permission to enrol.

Yes. You can enrol provided you can complete your studies within your grant of immigration permission.

 

If you have read the information above and are not sure if your immigration permission allows you to study, please contact the QMUL Immigration Compliance Team via visaverification@qmul.ac.uk

In your email, please include a copy of your passport details page and a copy of your most recent immigration sticker, stamp, card or document from the Home Office confirming your status. 

If you hold more than one nationality, please provide evidence for each nationality you hold.

If you have an in-time immigration application, which is still to be decided (including any in-time appeal or administrative review), please provide evidence of this (e.g. correspondence from the Home Office or Tribunals Service). 

We are not able to issue a CAS to sponsor student visas for the part-time variants of the following programmes:

  • PgCert Medical Education
  • MA Medical Education
  • MSc Prehospital Medicine

We can only offer you a place on one of the above programmes if you have pre-existing permission to study in the UK as:

  • A British or Irish citizen; or
  • Not a British or Irish Citizen but have UK immigration permission, which does not restrict you from studying (For example, you have EU Settled or Pre-settled Status or a Skilled Worker Visa)

If you have not already provided us with a verifiable, colour copy of the required original qualification certificates, we may contact you to ask that you provide these to the Admissions Office via your MySIS Applicant Portal. What documents we need to see will be communicated to you through the Pre-Enrolment process.

If your qualifications are not in English, the original must be accompanied by a fully certified translation by a professional translator/translation company. This translation must include:

  • details of the translator/translation company's credentials; and
  • confirmation that it is an accurate translation of the original document; and
  • the translator/translation company's contact details

It must also be dated and include the original signature of the translator or an authorised official of the translation company.

If you have not yet been issued your certificates at the time of enrolment, please provide a notification slip or pass list.

It is essential that you provide original documentation where possible; if unavailable, we can accept photocopies that have been stamped and signed by the awarding institution or body.

This guidance is very important as the university may NOT be able to fully enrol you if you do NOT present us with your original documentation at the point of enrolment or before.

If you are not a national of the European Economic Area, Switzerland, Australia, Canada, Japan, New Zealand, Singapore, South Korea or the USA and are studying certain postgraduate and research programmes (and undergraduate programmes leading to a postgraduate qualification), you will need to obtain ATAS (Academic Technology Approval Scheme) clearance before you can enrol on your programme of studies. If you will be applying for Student Route (formerly Tier 4) immigration permission, you will need to obtain ATAS clearance before requesting a CAS from the university.

You should not need to provide a copy of your ATAS clearance certificate at enrolment as this will be checked by our Admissions Office before you are cleared to enrol.
