Graduate documents

The Student Enquiry Centre is able to provide a number of Graduate documents both digital and hard copy, these can also be sent to Third Parties on your behalf.

HEAR (Higher Education Achievement Report)

The HEAR is an enhanced and electronic version of the traditional paper transcript which can be accessed through the Gradintelligence portal. It has inbuilt features which make it a secure and verified document and if shared with employers and other bodies require no further validation from the university. We have published information on how to register your account.

HEAR is only available to undergraduate and postgraduate students who have/will have graduated from July 2017.

Students excluded from receiving a HEAR

The following students are excluded from the HEAR:

  • MBBS students
  • Study Abroad (inc. associate, exchange, erasmus+) students (that are not awarded by QMUL)
  • Summer School students
  • Students on a non-award-bearing programme (inc. Pre-Sessional programmes)
  • PhD students

Ordinarily, the HEAR is not printed but should you require a paper copy there will be a charge of £10 for this service. The HEAR will be printed on standard paper and it will be stamped and sealed please specify you want a HEAR copy in your order form. The cost of £10 includes standard class postage in the UK. Overseas postage is extra.

Study abroad students

If you are an incoming student enrolled on a Study Abroad programme studying at Queen Mary on a 1 semester or 1 year programme (e.g. Autumn Associates, Full Year Associates etc.) then unfortunately you are not eligible for a HEAR. However, from July 2021, students enrolled with us from 2020/21 onwards will be provided with an electronic transcript via their Gradintelligence account.

Your transcript is an official record of all modules taken and results received whilst studying with us and, when shared via the Gradintelligence platform, is verified by Queen Mary. Transcripts will be published to your Gradintelligence account shortly after your results have been officially released to you via MySIS in the summer. We will also share your transcript with your home institution via their own Gradintelligence account.

The award letter may be used in lieu of your degree certificate to verify your official award, and comes in both digital and physical versions (please note digital copies will not be stamped and sealed). This is produced on Queen Mary headed paper and contains the University stamp and seal and contains the following information:

  • Your name
  • Intended award
  • Programme of study
  • Mode of study
  • Date of entry to the programme
  • Date of completion
  • Qualification and classification of award
  • Date of award
  • Field of study
  • Awarding body

The transcript is on Queen Mary headed paper and contains the University stamp and seal. The Academic Transcript lists all modules and results you have received during your studies with us. Digital copies are also available but please note this will not be stamped and sealed.

Study abroad students

Your Queen Mary transcript will be transferred back to your home institution by the Study abroad team. You should check with your home institution to find out if they translate grades into their own system or record them as given by Queen Mary.

Transcripts for students leaving in December are released in February. Transcripts for all other students are released in July. You can order a hardcopy of your Transcript above but please note it is not an exact copy of the transcript you already have access to for free on your Gradintelligence account.

Please note that only one hard copy of your certificate can be in circulation at any one time, and a replacement will only be issued if the original certificate has been lost, stolen or destroyed. Under no circumstances will the University issue additional copies or duplicates to any graduate holding an original certificate.

If you need both an award letter and a transcript, you can request a graduate pack. Both the transcript and award letter come on Queen Mary headed paper and contain the University stamp and seal. If this is for a third party submissions, please be sure to specify this and provide any additional information in the relevant spaces during your order.

What is an interim transcript?

An interim transcript will list all completed modules and their overall grades, this can be produced at the end of every academic year when results are confirmed.

Can I  get a transcript of my semester-based exam results?

We cannot produce interim transcripts for semester-based exam results as these results are provisional until confirmed at the exam boards. 

What document can I get before my semester-based exam results are confirmed?

If you have only completed a semester of the academic year and need a document to prove registration on your current modules you can request a module letter. A module letter lists the modules you are registered on in the current academic year and the credits they are worth, you can request this document by contacting the Student Enquiry Centre.

I have a HEAR Digital transcript, can this be updated with semester-based results?

Your HEAR and an interim transcript reflect results at the same time, your HEAR will be updated once results are confirmed at the end of the academic year, please note if you are eligible for a HEAR this can be used as an interim transcript.

Transcript Embargo

Please note due to provisional results appearing on transcripts whilst they are processed and confirmed at the exam boards, there are periods of time when the Student Enquiry Centre cannot provide transcripts. The transcript embargo would usually finish on the date that your results have been officially released.

The following transcript embargoes will be in place during 2023/24:

Undergraduate students:

  • Results released on 11 July 2024: 25 June - 11 July 2024
  • Results released on 10 September 2024 (students with Late Summer Resits): 06 September - 10 September 2024
  • Results released on 24 September 2024 (finalists with Late Summer Resits): 06 September - 24 September 2024

Postgraduate students:

  • Results released on 27 March 2024: 06 March - 27 March 2024
  • Results released on 16 July 2024: 03 July - 16 July 2024
  • Results released on 21 October 2024 (finalists being considered for an award in Autumn 2024 and continuing students with Late Summer Resits): 6 September - 21 October 2024

Please note this list is not exhaustive as their may be additional embargo periods in effect for those students who results release does not fit in with the main QMUL results periods. 

Not all Schools and Institutes consider continuing postgraduates’ results in their summer exam boards.  If they do not, we will not be able to provide you with a transcript until the official publication date.

BUPT students will need to contact the BUPT JP Administrator staff in the School of Electronic Engineering and Computer Science to request a transcript.

Nanchang students will need to contact the Nanchang JP Administrators to request a transcript.

Please note that we are unable to provide graduate documentation to Graduate Undergraduate Medicine students, who would need to contact the School of Medicine and Dentistry, for final transcripts and award letters. Research students will need to contact the Research Degrees Office for further support and guidance regarding documentation.
